In a firm of any size, someone quietly owns license tracking: checking expiration dates, chasing staff for CE certificates, updating a spreadsheet and hoping nothing was missed. That time rarely sits on a budget line, so owners tend to treat it as free until a lapse or an audit makes it visible.

This calculator multiplies your licensed staff by licenses per person to get the number of records tracked, then applies the minutes per license per month you estimate is spent on manual tracking. It prices those hours at the loaded hourly cost of the person doing it, applies the share of that time you expect a tracking tool to remove, and subtracts twelve months of the tool's price. The time reduction is your estimate, not ours.

How to use this tool

  1. Enter how many licensed staff you track and the average number of licenses or certifications each one holds.
  2. Estimate the minutes per license per month spent on manual checking, reminders and paperwork, and the loaded hourly cost of the person doing it.
  3. Enter the monthly price of the tool you are considering and the share of manual time you expect it to remove.

What the math assumes

  • Records tracked equal staff count multiplied by licenses per person, with every record taking the same minutes per month.
  • Manual cost is hours per year multiplied by the loaded hourly cost you enter for the person doing the tracking.
  • Hours saved apply the time reduction percent you enter to manual hours; the default of 70 percent is only a starting point you should adjust.
  • Net savings subtract twelve months of the tool cost you enter; setup time, data entry and training are not included.
  • Avoided lapse costs, penalties or missed work are not included, so the result is a labor-only estimate.

Frequently asked questions

How do I estimate minutes per license per month?

Ask the person who does the tracking to log a typical month, including reminder emails, certificate follow-ups and spreadsheet updates. The default of 15 minutes is only a placeholder; your own log will be more accurate.

What time reduction percent should I use?

Be conservative. Automated reminders and document storage remove most routine checking, but someone still reviews alerts and uploads documents. Run the calculation at two or three different percentages to see the range.

What if the net savings come out negative?

That means the tool costs more than the labor it removes at your numbers. Small firms with few licenses often see this; the case for a tool then rests on avoided lapses and audit readiness rather than admin hours.
