License Renewal Cycle Checklist
A start-to-finish checklist for one license renewal cycle, from confirming the inventory months out to verifying the board record and setting the next reminders.
Reviewed for 2026, updated September 8, 2026.
Most missed renewals are not caused by carelessness. They happen because the steps live in someone's head, the reminder arrives at the wrong moment, or one small requirement, like a required ethics category or an expired portal login, surfaces in the final week. This checklist puts every step for a single license in order so you can work through it once per cycle without rediscovering the process each time.
Print one copy per license, or keep it beside your tracker and tick items off as you go. The early items belong months before the expiration date, the middle items belong to the renewal window, and the last items close the loop after the board confirms. If you want to plan the continuing education portion in more detail, the CE Hours Pacing Calculator at /tools/ce-hours-pacing/ turns your remaining hours into a monthly target.
- Confirm your license inventory is complete: every license, certification, registration, and second-state credential you or your firm depend on.
- Verify this license's expiration date against the board's public lookup, not memory, an old email, or a wall calendar.
- Note the date the renewal window opens and treat that date, not the expiration date, as your working deadline.
- Re-read the board's current CE requirement: total hours, required categories, caps on self-study or recorded formats, and accepted providers.
- Total the CE hours already completed and logged for this cycle, and flag any required category that is still short.
- Divide the remaining hours across the months left before the window opens and put that monthly target on your calendar.
- Before paying for any course, check that the topic, the provider, and the format all count for this specific board.
- Save each CE certificate to the license folder the same day you finish the course, with the date, hours, and category in the filename.
- Confirm the board has your current name, mailing address, and email, and correct anything that has changed since the last cycle.
- Test your login to the renewal portal at least a month before the window opens, and reset it now if it fails.
- Check the board's current fee schedule so the renewal payment and any surcharge are not a surprise.
- Gather any supporting documents the board may request, such as CE certificates, employment verification, or a signed attestation.
- Set layered reminders: one far out for CE progress, one when the window opens, one near the deadline to submit, and one after processing to verify.
- If your busy season or travel overlaps the window, move the action reminders earlier so the work happens before the crunch.
- Submit the renewal inside the window, then save the confirmation page and payment receipt immediately.
- After the board's stated processing time, check the public lookup and confirm the new expiration date appears.
- Update your tracker with the new expiration date, the fee paid, and the date you verified the record.
- Set the reminder layers for the next cycle before you close the portal tab.
- Write down anything that tripped you up this cycle: a rejected provider, a missed category, a portal quirk, a slow processing time.
- For firms: confirm the shared record shows the updated status and that the person responsible for the next renewal is named.
